10 common wedding planning mistakes (and how to avoid them)

10 most common mistakes when organizing your wedding

Planning a wedding in Valencia can be one of the most beautiful experiences of your life… or one of the most stressful if you don’t have a good plan. At Plan A Weddings, after coordinating dozens of weddings in Valencia and Alicante, we have noticed mistakes that happen time and time again. That’s why, in this article, we want to share with you the 10 most common mistakes when planning a wedding and, most importantly, how to avoid them to enjoy the process to the fullest.

Not defining a realistic budget from the beginning

When I have the first meeting with a couple, they usually tell me they don’t have a defined budget, which can be a problem when starting to book vendors. This can make you realize halfway through that the numbers don’t add up, forcing you to either increase the budget or prioritize vendors.

Tip: Define an initial budget and set aside an extra €5,000–€10,000 for unexpected costs or last-minute vendors. Allocate approximate percentages for each category (venue, catering, decor, music, photographer, etc.). Our job as wedding planners is to help couples optimize it from day one to avoid surprises.

Los 10 errores más comunes al organizar tu boda

Choosing the venue without considering logistics

Valencia has wonderful venues from traditional masías (country estates) to seaside locations, but not all are suitable for every type of wedding.

Tip: Before booking, consider the venue’s accessibility for your guests (especially if they are coming from out of town), the distance from accommodations, the venue’s capacity, what permits it has (regarding music, fireworks, or other elements), and whether it has a Plan B (in case of rain).

Leaving vendor bookings until the last minute

Good vendors get booked at least a year in advance—sometimes more—especially during peak season. This is crucial if you want to choose the vendors you work with, rather than settling for whoever still has availability.

Tip: Once you have your date and venue, prioritize booking your catering, wedding planner, photographer/videographer, hair and makeup artist, and DJ/sound company. The other details can be finalized later, but those five make a huge difference.

Wanting to do everything yourself

Pinterest is inspiring, but it can also be overwhelming. There are so many ideas, and it’s not always easy to make everything follow the same aesthetic, or to coordinate it all yourselves while you are also working or studying. It can be exhausting and cause stress during a process that should be wonderful from day one.

Tip: Delegating doesn’t mean losing control; it means gaining peace of mind. Having a professional wedding planner allows you to enjoy the process and be part of it, knowing you are supported by a professional, which brings great peace of mind.

Not having a Plan B (especially if the wedding is outdoors)

In the Valencian Community, we enjoy a lot of sun, but we also get sudden downpours, especially in months like April, September, or October.

Tip: Always check before booking a venue if there is an indoor alternative or if a high-quality tent, with an aesthetic that matches your wedding style, can be set up.

Forgetting about guest comfort

Small details make guests feel well-cared for. Things like hydration, heat, or even proper signage are often overlooked.

Tip: Think like a guest. Are there fans (or pai-pais) for people to cool off? Is there enough shade in the ceremony or cocktail area? Is there seating for older guests during the cocktail hour? Is everything clearly marked: restrooms, party area, coat check? These kinds of things help everyone enjoy the day more.

Not correctly coordinating the day’s timeline

The key to making everything flow smoothly is a good timeline.

Tip: A good timeline doesn’t just account for the wedding’s main events, but also travel to the venue, setup times, and the key moments for the couple. This is something we map out in detail for every wedding we coordinate.

Not trusting the professionals you hire

For a wedding, you hire a team for their experience and their style. Trying to control every little step only creates tension.

Tip: Choose vendors that you connect with and trust. Then, let them do their job. You will enjoy the result much more.

Wanting to incorporate too many ideas or styles at once

Social media is full of inspiration, but mixing too many styles can make the final result lack cohesion and not feel like “you.”

Tip: Define a single visual concept (colors, materials, decor style) and stick to it, from the stationery to the final setup. Less is more. At Plan A, we work on this entire part, helping you find your style and decide which things fit (and which don’t) while considering your budget and your essence.

Not enjoying the process

Planning a wedding should be a wonderful and unique experience, as it’s a once-in-a-lifetime event. If it all becomes stressful, it’s time to pause and ask for help.

Tip: Surround yourself with professionals who make you feel calm, whom you trust, and to whom you can delegate. The planning process can and should be as beautiful as the wedding day itself, without constant stress. That’s why having a wedding planner from the beginning, or even just for a specific part, can give you incredible peace of mind and make you feel that you are not alone.

Organizing a wedding in Valencia can be a magical process if it is done with time, consistency and support. Avoiding these mistakes will allow you to focus on what’s important: enjoying yourselves, celebrating, and fully living your day.
